2. What data do we collect?
We collect only what is needed in order to help you:
- Contact details that you enter yourself via our contact form or the chat: name, email address, company, sector and your message.
- Booking details when you schedule an appointment: name, email address and the time slot chosen.
- Communication that you have with us by email or WhatsApp.
- Technical data recorded automatically during a visit to the website: IP address, browser type and pages visited (see also the Cookie policy).
3. Why do we process your data?
- To answer your question or enquiry and to schedule an introductory meeting.
- To provide our services and to communicate with you.
- To improve our website and our services.
- To comply with legal obligations (for example accounting).
The legal basis is your consent, the performance of a contract, or our legitimate interest in running our business.
4. Who do we share your data with?
We never sell your data. We work with reliable processors which process data solely on our instructions:
- Google (Sheets, Workspace) — storage of enquiries and email.
- Make (Celonis) — automation of our workflows.
- Cal.com / Cal.eu — the scheduling of appointments.
- Chatbase — the AI chat function on the website.
- Meta Platforms — communication via WhatsApp.
- Our email provider — sending confirmation and follow-up emails.
Some of these parties process data outside the EU, subject to the legal safeguards (such as the European Commission's Standard Contractual Clauses).
5. How long do we keep your data?
We do not keep your data longer than necessary. Enquiries and contact details are kept for a maximum of 24 months after the last contact, unless a statutory retention period (for example accounting: 7 years) is longer.
6. Your rights
You have the right of access, rectification, erasure, restriction and portability of your data, and the right to withdraw your consent. To exercise these rights, email hello@scaleops.be. You may also lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
7. Security
We take appropriate technical and organisational measures to protect your data against loss or unauthorised access.
8. Changes
We may amend this privacy policy. The most recent version is always on this page, with the date of the last change at the top.
