I build the systems that take the work out of your business.

I have run businesses myself, so I know what it is like to still be answering enquiries late in the evening. That is why I now build systems that take it over — follow-up, quotes, appointments, customer questions.

Buy, don't rent. Your business, your system, no commission.

What we do

Five building blocks. From your website to your systems.

You pick what you need. Every block has to save time or bring in revenue — otherwise we don't build it.

01

A website that brings enquiries in

Clean, fast, in your style — and wired straight into what happens behind it. Your site stops being a digital brochure and becomes something that captures enquiries and follows them up on its own.

Custom website or online shop
Enquiry forms that feed straight through
Mobile, fast and findable in Google
Connected to follow-up and bookings
02

No enquiry left sitting

Every question gets an answer within minutes — evenings and weekends included.

  • Emails answered and followed up automatically
  • Customer questions via chat and WhatsApp, day and night
  • Serious enquiries separated from the rest
  • Assistants that hold your tone of voice
03

The paperwork that does itself

Quotes, invoices and follow-up keep moving without anyone driving them.

  • Quotes and invoices drawn up automatically
  • Appointments that put themselves in your calendar
  • Everything logged in your CRM, no re-typing
  • Your existing tools connected to each other
04

Knowing where it jams

First see what actually happens in your business, then build.

  • Your processes reviewed end to end
  • The bottlenecks taken out
  • One dashboard with your real numbers
  • Seeing what works and what doesn't
05

Growing without hiring

Handling more volume with the same people — that is the whole point.

  • Systems that grow with you
  • Less dependent on who happens to be in
  • More control and oversight
Who it's for

Works anywhere enquiries pile up.

The underlying system is the same. What differs is which questions get asked and what has to happen next.

How it works

This is what it looks like when it is running.

An enquiry comes in, the system asks the right questions and puts the appointment straight into your calendar. All you do is have the conversation.

01

An enquiry comes in

Someone sends an email, fills in a form or messages you on WhatsApp.

02

The right questions asked

The system replies, probes further and gathers what you need — in your tone of voice.

03

Appointment scheduled

Is it a serious enquiry? Then the slot goes straight into your calendar.

04

You have the conversation

No chasing, no back and forth. Only the conversations that matter.

In the background it keeps looking for new clients who match your ideal profile — so the pipeline keeps filling itself.

See it work

From enquiry to appointment — in 15 seconds.

ScaleOps

While you are out on a job, this simply keeps running.

All you still do is have the conversation. I build the systems that do the rest.

Proof

I don't just build systems — I run on them myself.

No theory off a slide. What I build for clients runs in my own brands first.

Case 01

ScaleOps — Leads engine

This company itself · live

The system that finds my own clients. Companies are researched, their website analysed and a tailored proposal prepared — every day, without me lifting a finger.

  • Companies sourced by sector and region
  • Website scanned, opportunities analysed, proposal prepared
  • Everything in one overview — nothing duplicated, nothing forgotten
Case 02

Erebelle — Online shop

Skincare · United States

A US skincare brand, built from day one to run on its own. From order to follow-up, everything happens without manual work.

  • Order → processing and shipping automatic
  • Customer questions answered day and night via chat
  • Email flows: welcome, follow-up, repeat purchase
Case 03

Urban Foods — Ordering platform

Street kitchen · live

Customers order online — collection or delivery — and pick a time slot. The order prints itself as a ticket on the kitchen printer. No middle step, no re-typing.

  • Order → kitchen ticket, fully automatic
  • Time slots with capacity limits — never overloaded
  • Pay online or on collection
Case 04

Urban Foods — Event Planner

Events & catering · live

A quote for a wedding, festival or corporate event used to mean endless emails back and forth. Now the client builds it themselves and gets a price straight away.

  • Event, guests, package → automatic quote
  • Price, transport, crew and VAT calculated automatically
  • Deposit paid → date locked in
And this website? It's a case too.

Enquiries are answered and sorted automatically, appointments schedule themselves, and content appears on our channels on its own. If my own systems do the work while I build — then I know they will work for you too.

Run the numbers

What does a missed enquiry cost you?

Slide in your own figures. You will see straight away what is being left behind — and whether this is worth it for you.

This is what you leave behind each year
€ 124.800
approximately € 10,400 per month

An estimate based on your figures, not a promise. What is actually achievable for you is something we look at together.

Pricing

Start with an audit. Scale when it works.

No per-user subscription, no commission per enquiry. You buy the system — it is yours.

Scale

A fully bespoke system for larger companies — unlimited workflows and integrations.

bespoke

No obligation after the audit — the analysis is yours to keep.

Why ScaleOps

Not a consultancy. Someone who builds it.

Operator, not adviser

Built by someone who sets up and runs businesses himself. I know what it takes to keep a company going — no theory off a slide.

Focused on results

I don't automate for the sake of automating. Every system has to save time or bring in revenue — otherwise I don't build it.

Deliberately few clients

A maximum of 2 new projects a month, because I build everything myself. What you get is full attention — nothing handed off.

Buy, don't rent

The system is yours. No commission per enquiry, no platform that takes your customers, no subscription that costs more every year.

How I work

A maximum of 2 new projects a month.

I build every system myself — nothing handed off, no junior taking over. That is why I deliberately take on few projects, but every one gets full attention from the first conversation to go-live.

Patrick De Swert
Who you'll be speaking to

Patrick De Swert

I spent 30 years in restaurants and hospitality and was co-owner of a business. I know what it is like to still be answering enquiries after a long day, or to lose a customer because your hands were full.

That is why I now build systems that take that work over. Not as a consultant who delivers a report, but as someone who does it himself — in my own brands first, then in yours. Urban Foods, Erebelle and ScaleOps all three run on what I build.

FAQ

Including the price question.

The rest we would rather cover in a short conversation — tailored to your business.

You start with the Operations Audit at €295 (deducted if you continue). Then you choose a package: Starter €1,500 or Growth €3,500, with maintenance at €250 a month. Larger projects (Scale) are quoted bespoke. In the intro call we work out together where the biggest gain is.

The first automations are usually running within a few weeks. We work in steps: fastest gain first, then build out from there.

Yes. I connect to your CRM, inbox, calendar, WhatsApp and invoicing tools rather than replacing everything. Your systems start working together instead of side by side.

A maximum of 2 new projects a month. I build every system myself, so taking on more would cost quality. And to answer the competitor question before you ask it: systems, data and approach are never shared between clients.

Mainly service firms and SMEs with recurring processes — estate agents, installers, construction, online shops, restaurants and hospitality. Plenty of emails, quotes, follow-up or admin still done by hand. Whether it fits you is something we check in a short conversation.

I build in steps and keep adjusting until a system does what it should. You are not tied into long-running contracts.
