Your client builds their own event. You get the booking.
Date, package, number of guests, location — the client clicks it together themselves, sees the price live and books straight away with a deposit. No quotes to draw up, no phone calls, no back and forth about a festival in September.
Running live at Urban Foods — where it was built and tested.
Deposit € 810 · the date is secured
Every enquiry costs you half an hour. And half of them do not book.
This is how it goes today at almost every food truck, caterer and event supplier.
Half an hour of work per enquiry. At 12 enquiries a month that is 6 hours — for 4 bookings.
Zero minutes of work per enquiry. And whoever is on your site in the evening books in the evening.
Four steps. You are not in the middle of them.
The client picks their event
Type of event, number of guests, package, date and location. All on one screen, not a three-page form.
The price appears live
Your rates, your rules. Mileage, extra crew, minimum spend, weekend rate — all built in.
The date is checked
Dates that are taken cannot be clicked. Whatever is in your calendar blocks automatically.
Booked with a deposit
Deposit paid, confirmation sent, date in your calendar, invoice prepared. You do not have to do a thing.
Someone hesitating? Their configuration still reaches you, and an email follows automatically after two days. Even the waverers do not get left.
Everything around the booking, built in.
What the manual work costs you.
Not in hours. In euros you do not invoice.
Two events a month you lose because somebody else was quicker. At € 1,000 average that is € 24,000 that went to a competitor.
Plus 72 hours a year in Excel and emails. Time you are not spending on events.
per enquiry. At midnight too.
Two extra events a year and the system has paid for itself. The rest is profit.
Anywhere a price depends on guests, date and distance.
Food trucks
Package, number of guests, mileage and hours on site. Four variables recalculated every single time — now automatically.
Caterers
Walking dinner, buffet or plated service, with or without staff. The client chooses, the price follows, you get the booking.
Event agencies
Let clients build their own package within your limits. Less pre-discussion, better enquiries.
Function rooms
Available dates, capacity and packages on one screen. Saturdays that are taken cannot be clicked.
Hire & signage
Equipment, period, transport and installation. Same principle, different variables.
Bars & mobile bars
Hours of service, number of guests, package with or without staff. Deposit fixed, date fixed.
Build it once. After that it is yours.
No commission per booking, no percentage of your event value. You buy the system.
Event Planner
Configurator, price calculation, calendar check, deposit payment, confirmations and follow-up. Set up, tested and explained.
30-day guarantee
If after 30 days it does not work as agreed, I rebuild it or you get your money back. No argument.
Need a website as well?
Combine it with the hospitality package: website, online ordering, table booking and the Event Planner in one project, at a keener total price.
Built for a real business, not for a demo.
Already running live
At Urban Foods in Beringen, clients book their food truck event entirely themselves, with a deposit. This is not a prototype.
By someone from the trade
30 years a chef, and co-owner of a hospitality business. You do not have to explain why an event on a Saturday is priced differently.
Little competition
Almost nobody in the trade lets clients configure for themselves. Whoever has it first stands out on every enquiry.
What you will usually want to know.
Question not there? Ask it in the intro call.
I do not want everyone seeing my prices.
That is possible. We can show the price only after a name and email have been entered, or show a from-price with the exact figure in the confirmation email. You decide how open it is.
My prices depend on too many things.
Usually it is fewer than you think: guests, package, distance, day of the week, hours on site. We write your pricing rules out once and they go in. Exceptions come to you as an enquiry.
What if someone books an impossible date?
They cannot. Dates that are taken are not clickable, and you set how many days in advance a booking has to be made. We can cap your maximum number of events per week as well.
Do I have to replace my website?
No. The Event Planner comes as a page on your existing site. If you do not have a site yet, we build one alongside — see the hospitality package.
And if a client cancels after all?
Your terms sit inside the booking — the client ticks them before paying. So the deposit and the cancellation rules are agreed before the date is secured.
