Foodtruck Event Planner · by ScaleOps

Clients book their own event. All you see is the confirmation.

No typing quotes, no phone calls, no endless emails. Your client builds their event online themselves — date, package, number of guests, extras — sees the price straight away and books on the spot. Like booking a flight, except it is your food truck.

Sound familiar?

Sitting there after service typing quotes for enquiries that come to nothing anyway.
Twenty emails back and forth about date, package and guest numbers.
The phone going during the rush: “What does a party for 80 cost?”
Double bookings because the calendar is out of date.

Your client does the work — in 4 steps

01
Choosing a date

The client sees your live availability in the calendar. Booked days simply cannot be clicked — double bookings stop existing.

02
Building the event

Pick a package (burgers, bowls, all-in), slide the guest numbers, tick the extras: drinks, dessert, a longer stand time. The price updates live on screen.

03
Booking there and then

The client confirms and pays a deposit online. No quote needed — the price was already there. Booking in, calendar blocked, confirmation sent.

04
Everything else handled

Confirmation email, a reminder before the event, invoicing prepared and a briefing for you with all the details. All you have to do is cook.

And large or unusual events? Enquiries above a guest number you set, or outside your region, do not go through automatically. They land with you as a bespoke request — with all the details already gathered.

What it gives you

Bookings while you sleep

Most events are booked in the evening — exactly when you are working.

Deposit in straight away

Paid online at the moment of booking. No no-shows, no chasing confirmations.

Hours a week back

No quotes, no email traffic, no phone calls. The system sells, you cook.

Who it's for

Food trucks

Corporate parties, weddings, festivals — bookable directly from your own site.

Caterers

Per-person packages, supplements and extras — the client builds it, the system does the maths.

Event agencies

Several trucks or concepts, each with its own calendar and packages, in one system.

Built from practice, not from behind a desk

We run Urban Foods ourselves — a street food kitchen doing food truck events. This system exists because we needed it: every step was tested in our own business first. Not software from an IT company that has never worked a festival.
